Administrative Assistant

MAIN FUNCTION OF THE POSITION

The Administrative Assistant position is the first point of contact for our Tacoma office; greeting and welcoming clients, visitors and staff, answering and directing phone calls and doing so with a professional demeanor. This position also performs clerical and general office duties throughout the branch.

SUMMARY OF JOB DUTIES:

  • Provide direct customer service support for commercial lines client
  • Answer main line phone calls in a timely and professional manner, providing callers with an exceptional phone experience. Provide general customer service to clients, visitors and staff.
  • Maintain a clean and professional presence in our reception area, conference rooms and common areas as well as and mail room and other office supply areas.
  • Consistently meet all Brown & Brown established Quality Control Practices and Timelines.
  • Process incoming mail and distribute electronically to all departments, including faxes and packages, in a timely efficient manner. Process outgoing mail and packages.
  • Daily processing of checks – log entries and electronic bank deposits.
  • Provide support to project mailings and presentations, assist with the collection, compilation and distribution of materials for various projects. Responsible for specialty printing: employee guides and other office materials.
  • Assist Sales Leader and PCL with sales documents for meetings.
  • Coordination of staff anniversary & birthday recognition. Assist Administrative Manager with staff events and Casual Thursday organization.
  • Assists with maintenance of & trouble shooting office machines, including contacting vendor for service issues. Coordination of coffee services with vendor.
  • Department focused assignments: MVRs, pulling data for experience reports, and other department focused duties & projects appropriate for non-licensed employee to perform.
  • Provide support in updating/editing social media – BBTV, website, Facebook and LinkedIn pages.
  • Assists with special projects as requested by the Administrative Services Manager and PCL

Commercial Account Manager

MAIN FUNCTION OF THE POSITION

To provide service to agency’s customers on their commercial insurance program through various means of communication with strong emphasis on retention and growth through prompt and courteous service. Assists Producers in the placement of new and renewal business.

SUMMARY OF JOB DUTIES:

  • Provide direct customer service support for commercial lines clients.
  • Issue appropriate documentation as needed including certificates of insurance, auto insurance ID cards, etc.
  • Completing applications, negotiating with underwriters and preparing proposals for new and renewal business proposals/offerings
  • Contact clients and/or underwriters to obtain additional information or answer questions
  • Resolves policy and coverage related concerns for clients, insurance carriers, and Producers.
  • Reviews accounts handled for adequate coverage. Demonstrated ability to educate, cross sell, and upsell coverages, recommending changes to insured for enhanced protection, ensuring Profit Center Minimum Standards are being met.
  • Process change requests and other coverage research issues
  • Assists with training of Account Technicians and Administrative Assistants
  • Review Aged Receivables, follows up on collection of premium payments and assist the accounting department in reconciliation of company and client accounts
  • Consistently meets all Brown & Brown established Quality Control Practices and Timelines
  • Manages & maintains individual Washington Producer’s License by attending appropriate CE classes.

QUALIFICATIONS:

  • Current Washington State Insurance License, or must obtain within 60 days of hire
  • Minimum 3 years recent agency experience handling the service of a large book of business
  • Knowledgeable in property and construction preferred
  • Strong writing skills – ability to translate technical information in manner understandable to all levels of clients
  • Excellent interpersonal communication skills, verbal and written
  • Analytical, detail oriented and committed to accuracy
  • Strong decision-making skills
  • Highly organized – ability to work on multiple projects simultaneously with frequent interruptions and changing priorities
  • Ability to work well in a team environment
